Location Data: The specific address (home, workplace, or seller’s location) where the vehicle is located to perform on-site repairs.

Vehicle Data: Vehicle Registration Mark (VRM), Make, Model, VIN, mileage, service history, and MOT status.

Diagnostic & Telemetry Data: Data retrieved from your vehicle’s onboard computer (ECU) during Diagnostic Inspections. This includes fault codes, live sensor data (e.g., engine temperature, fuel pressure), and warning light history.

Visual Data: Photographs of vehicle bodywork, mechanical components, and underbody conditions taken during Pre-Purchase Inspections to generate digital reports.

Financial Data: Payment records required to process invoices. Note: We do not store full credit card details locally; transactions are processed via secure third-party payment providers.

3. How We Use Your Information (Legal Basis)

We process your personal data under the following legal bases allowed by the UK GDPR:

Service Delivery (Performance of a Contract): To travel to your specified location and perform requested services such as servicing, repairs, or inspections.

Diagnostic Analysis (Performance of a Contract): To identify faults using professional diagnostic equipment and analyze live data to pinpoint issues like misfires or ABS faults.

Pre-Purchase Reporting (Performance of a Contract): To compile detailed digital reports for buyers regarding the condition of used vehicles, including photographic evidence.

Legal Compliance (Legal Obligation): To maintain invoice records for UK tax (HMRC) purposes and to comply with safety regulations.

Service History & Warranty (Legitimate Interest): To update your vehicle’s service record, preserve resale value, and maintain records validating our 12-month parts and labour warranty.

4. AI and Automated Decision-Making Transparency

We are committed to transparency regarding the use of automated technologies. Maxamy Mobile Autocare provides the following disclosures:


Diagnostic Tools:
We utilize advanced diagnostic scanners to read vehicle fault codes and live data. While these tools use algorithms to identify system irregularities, they do not make automated decisions regarding your vehicle's roadworthiness. All final assessments and repair recommendations are made by our expert human mechanics based on 30+ years of experience.


No Generative AI Processing:
We do not currently use generative AI models to process your personal identity data or to make decisions about your eligibility for service.

5. Data Sharing and Third Parties


We do not sell your data. To operate our mobile business, we may share necessary data with:


Parts Suppliers:
To order specific OEM-quality parts using your Vehicle Registration Mark (VRM).


Payment & Software Providers:
To securely process payments or generate digital invoices. Some of these providers may store data on secure cloud servers outside the UK. We ensure these providers utilize UK-approved data protection agreements.


Legal Authorities:
If required by law to assist in the prevention of fraud or crime, or to comply with MOT and road safety regulations.

We retain your personal and vehicle service data only as long as necessary:


Service & Repair Records:
Retained indefinitely to provide you with a continuous record of vehicle maintenance (vital for warranty claims and resale value).


Diagnostic Reports:
Digital reports and photos are retained for 24 months to allow for follow-up consultations and warranty verification, after which they are deleted or anonymized.


Invoices:
Retained for a minimum of 6 years to comply with UK tax (HMRC) and accounting laws.
